Responsibilities:

The Assistant Director assists in the management of Operations of the Financial Aid Office. He/she is responsible for management of the Federal Work Study Program. The Assistant Director writes essential reports to assist with the annual fiscal reporting to Federal Department of Education. He/she works closely with Athletic Department in the management of the Athletic Grants.

1. Assist in management of day to day operations of financial aid office to ensure accurate and timely delivery of financial aid information to students, parents and the campus community. The Assistant Director works collaboratively with the Dean to ensure federal and state compliance. Initiates recommend, develops and implements office policy and procedures. Consistently provides procedural support to the professional and administrative financial aid staff.

2. Manages the Federal Work Study Program. Directly responsible for on- and off-campus job development. Meets with off-campus site personnel to design, develop and oversee wage reimbursement process for students employed off-campus. Oversees the training, collection of work contracts, and payroll documents from off-campus personnel. Thoroughly reviews documents for accuracy, troubleshoots any issues promptly. Thoroughness and accuracy are critical in establishing and maintaining off-campus job sites for SMC students in addition to meeting federal "community service" requirement crucial for continued participation in Federal Work Study program. Works collaboratively with Career Placement and Payroll Offices to evaluate and assess current on- and off-campus work programs and services and initiates and develops improvements.

3. Works collaboratively with Athletic Department in the management of NCAA Athletic awards. Thorough knowledge of NCAA regulations and software required. The Assistant Director develops effective professional working relationships with the numerous coaches providing financial aid eligibility estimates enabling athletic coaches to recruit student-athletes within a compressed timeline. Effectively counsels athletics students when athletic grants and federal/state financial aid coordination issues arise.

4. Review application data from students to determine institutional, state and federal program eligibility. Counsel students, families and the general public on the financial aid programs and processes. Interpret eligibility and determine applicability for federal rules and regulations to individual cases.

5. Assists in the training of entry-level financial aid counselor position.

Experience and Qualifications:

QUALIFICATIONS:

Education: REQUIRED: Bachelor's Degree PREFERRED: Master's Degree

Experience: (years required and applicable field of experience): Three or more years in an area of financial aid or related field.

Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) Excellent verbal, written and interpersonal skills. Problem solving, accountability, mathematical/analytical skills. Sound judgment and prompt decision-making skills. Knowledgeable in Microsoft Operation Systems. Familiarity with financial aid database systems.

Other Requirements: (e.g. travel, weekend/evening work) Required to travel and work some weekends and evenings. Required to attend Professional Development and recruiting events.

Know, recognize, and comply with the laws, policies, rules, and regulations governing the College and its employees, and the rules of the National Collegiate Athletic Association and the West Coast Conference as now constituted or as may be amended in the future. Ensure that any assistants and any other employees and/or volunteers for whom you are administratively responsible comply with the above-referenced policies, rules, and regulations. Immediately advise the Director of Athletics and Recreational Sports if there is reasonable cause to believe violations, whether by employees or students, have occurred or will occur.
