Full-time Executive Assistant

We have an exciting opportunity to join the Archdiocese in the role of Executive Assistant, reporting directly to the Archbishop and supporting members of the Executive Team. This is a highly visible role and as such, we are looking for someone who possesses the utmost professionalism and integrity.

In the role of Executive Assistant to the Archbishop, you will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Archbishop. You will be expected to handle a wide range of complex and highly confidential administrative and executive support-related tasks, which require acute attention to detail. You will also support the Office in executing day-to-day responsibilities including, but not limited to, managing phone calls, meetings and travel arrangements; prioritizing and responding to multiple requests and concerns that are often urgent, sensitive and confidential in nature; preparing related documentation; maintaining church records stored in the Chancery. Under the direction of the Archbishop or his delegate, you will prepare and or contribute to the preparation of reports, proposals, briefings, presentations and high-level correspondence as appropriate. You will work closely with Priest-Secretary, Moderator of the Curia, Vicar Bishops, executive directors and department heads, other clergy, principals, community and lay leadership. You will provided administrative support to them as needed. As needed, you may also manage the work product of other administrative assistants, temps, and other resources.

To be considered for this opportunity, you must meet the following criteria:

• Practicing Catholic in good standing
• Bachelor’s degree or equivalent combination of education and experience
• Minimum of 5 years of experience directly supporting a C-suite executive, with complex office administration
• Excellent computer skills with proficiency in Microsoft Office Suite including applications of Word, Excel, Access, PowerPoint, e-mail and internet research
• Must be able to maintain a high degree of confidentiality and discretion
• Must be available and willing to work early mornings, evenings and weekends as needed
• Exceptional interpersonal skills and the ability to interact effectively with a wide range of constituents
• Knowledge of and experience in accounting and budgetary procedures
• Exceptional verbal and written communication skills including editorial and proofreading skills, strong command of the English language (grammar and spelling)
• Ability to foster a collaborative and cooperative work environment
• Strong analytical and organizational skills with attention to detail
• Must be able to work independently or as a member of a team
